Writing a business thank you note for a wholesale inquiry is usually done when a potential customer has inquired about your product(s), price list, and any information about your company either through a phone call or through email. This reply letter is an opportunity for you to showcase what your products, as well as, your company has to offer, so it is imperative that you make a good first impression with your business thank you note.
STEP 1: Type your company's name, address, telephone, fax, and email address at the top of the page. Be sure to center this information. Then enter four spaces.
STEP 2: Type the date at the left-hand side of the page. Continue to type the rest of the letter on the left-hand side. Enter two spaces.
STEP 3: Type the owner or representative's name and street address. Include all titles after the name. For example, Sally Smith, Sales Representative. Enter two spaces.
STEP 4: Add the salutation, such as Dear Ms. Smith or Dear Sally. Always include a colon after the salutation. Enter two spaces.
STEP 5: Type the first paragraph of the body of the letter with the following message: Thank you for your interest in our company, Mango Tango Hand Creams. As per our phone conversation on Monday, March 30, 2009, enclosed you will find a packet that contains information about our wholesale prices, policies, and history of our company. Also, included is a sample of our award-winning Mango Tango Hand Cream for you to try at your convenience.
STEP 6: Enter two spaces. Type the second paragraph of the letter. With this part of the letter, you want to impress your potential client, so list any awards, achievements, special ingredients, or any selling point that would want to make them buy your product. The following is an example: Mango Tango Hand Creams prides itself on using the highest quality, paraben-free ingredients. Customers all over the country love using our creams because of the moisturizing shea butter, soothing aloe vera, and skin-loving vitamin E that's included in every tube. In fact, we have received the coveted "Natural Product Leader" award five times since the opening of our business in 2004.
STEP 7: Enter two spaces. Type the third paragraph of the body of the letter. This is the closing paragraph and needs to include some sort of instruction the reader should take. The following is an example: If you have any further questions about our company or would like to place an order, please contact me at (555) 555-555. Our hours of operation are Monday through Friday 8:00 a.m. to 6:00 p.m. EST.
STEP 8: Enter two spaces and include the following sentence: Thank you for your time and consideration.
STEP 9: Enter two spaces and type your closing, which should be "Sincerely" with a comma placed after it.
STEP 10: Enter four spaces and type your full name along with any appropriate title.
STEP 11: Enter one space and type the word, "Enclosure." This reiterates to the reader that the package contains more than just the thank you inquiry note.
STEP 12: Sign your full name between the closing and where you typed your name.
ADDITIONAL INFORMATION:
* Keep your thank you inquiry note to one page.
* Make short, concise points about your products.
* If you need to, make a list of about four good points that your reader would really be impressed with.
