How to Use Outlook Calendar and Post Appointments

Using Microsoft Outlook for the first time can be intimidating. This is an easy step by step guide to help ease the pain of learning to use the appointment setting feature and calendar basics of MS Outlook.
Things You’ll Need:
- Computer with MS Outlook
- Time to Practice
To Enter and Appointment:
When on the Email Screen Choose the Calendar option at the bottom left of the screen. The Calendar Screen will the appear. Choose date by double clicking on the Date Number, or on an empty space within that box. Once you have chosen a date an appointment box will open.
Enter the Subject, Location, UNCHECK the all day event button and enter beginning and ending time, adjust timer if needed and choose from the drop down box, whether your time is free, busy, etc. To invite attendees you would now click “invite attendees” from the top of the appointment box and enter the email address of the invites.
Once done Click Save and Close.
NOW the event or meeting will be added to your calendar.
TO VIEW:
To view your appointments, go to your calendar and double click on the appointment that you would like to view. This will open the appointment screen.
You can also view your calendar in different ways by choosing, Today View, Monthly, Weekly, etc, but clicking on the appropriate tab at the top of the screen.
TO PRINT:
Go to the top right corner and click FILE, the PRINT, Choose your print style (Monthly view, Weekly etc…) and choose the date range, beginning date and ending date. Then click OK
To Accept an Appointment sent by someone else, check your email, open the message and choose Accept. This will place the appointment in your calendar and will notify the sender automatically.
