How to write an effective letter
Writing a beautiful letter is surely an art and sadly not many people carry this art and thus when it comes to writing a letter most of the people seek help or guidance.

To write a successful letter, one has to employ seven strategies mentioned below.
The Seven Letter writing strategies:
1. Write in a straight forward and precise manner:
This point is very important in business letter writings where good letter should not be more than 450 words and thus should be of one page only. To put all the details in just one page use a straight forward, focused and precise writing style. Don’t try to explain anything rather if you feel the client whom you are writing might need some explanation, call him and explain and then write summary in your letter. If you start explaining chances are that client gets some doubts etc in his mind and contact you again. It would be a waste of time only.
2. Write Clearly, Briefly And Logically:
It is a good idea to write down all the points you want to cover in your letter before actually starting writing a letter. After that, arrange all points in a logical manner. Usually logical progression should have:
- Introduction and purpose
- Explanation and background
- Conclusion or summary
- Proposed action
Employ this approach to write down letter as it will save you from repetition and missing any important point.
3. Concentrate on the addressee’s needs:
Avoid unnecessary information and try to concentrate what your addressee wants from your letter. What kind of information you should be providing to him? Once you have a clear idea about the addressee’s requirements, address those all issues and make sure you are not missing anything.
4. Make use of uncomplicated and suitable language:
Make sure you are not using very complicated or difficult vocabulary in your letter. This is very important otherwise your addressee will not have a clear idea of what you are trying to convey. If you have to put technical terms then be sure that addressee is familiar with those terms and if he is not better put little definition of them in your letter.
5. Employ small sentences and paragraphs:
Don’t give a bookish look to your letter and therefore write in short sentences and in small paragraphs. It would be better if paragraphs are of 4-5 lines.
6. Review and improve your letter:
Keeping addressee in your mind, review and improve your letter. Read it loudly to hear what you have written to make sure that it does sound good too.
7. Double check Grammar and Spelling:
A letter describes you so make sure that there is no grammatical or spelling mistake in it. Letter with any of the above mentioned mistakes can make you look unprofessional so be careful.
